We are excited to announce the launch of our Email Templates. This powerful feature allows customers to create and manage custom email templates for various use cases, including review requests and thank-you emails for form submissions.

How to get started with Email Templates

You’ll need to set up your email domain in TINT to enable integration between your forms and your email platform, allowing email templates to be sent automatically.  Click here for how to do this.

Review Reply - The poster of the review would get an email when you reply to their review.  This should be using the ratings and review settings only. 

How to create an email template

There are three ways to set this up: in Email Templates, via the form builder form, and the Ratings and Review Feed settings (for ratings and reviews comment replies only).

  1. Click on your name in the top right-hand corner
  2. Click on Team Settings
  3. Click on Email Templates
  4. Click on + Add
  5. Name  Enter the name that you want to call your template
    Type Which type of trigger would you like to use? See the explanations above for more details.
    From Email Select the email address the email will come from. You can choose a personalized sender name (e.g., an individual) or use a more corporate-looking address, and in the dropdown, you will see your own email domains that you have added.
    From Name This is the name that will appear as the sender in the recipient’s inbox.
    Subject Enter the subject line of the email.
    Body This is the main content of the email. You can use HTML and Liquid templates to customize the layout and content. For Form Builder submissions, the template tags are form element IDs.  For example: first_name as a form element ID would be {{ first_name }}
    Language option.   The default language is set to English (United States), but you can change this to support different locales within a single email template. When the email is sent, the system will first look for an exact match to the recipient's locale. If that isn't available, it will look for the same language (regardless of region), and if still not found, it will use the first available locale.
  6. You can also link it to a form via the dropdown button next to the preview button. 
  7. When you have configured everything to your requirements, click Save or click Save throughout your changes.

How to set up the email template (Form Builder)

  1. Set up your form.  Click here to learn how to do this
  2. Make sure you publish your form, otherwise, the workflow option will not be available
  3. Click on the settings cog
  4. Click on Workflows
  5. Click on Email
  6. Pick the Email Template or create a new email template
  7. Email Field should pick up from the form and give the option email unless you have renamed this form field
  8. The tick should change from Grey to Green
  9. Click Done to complete

How to set up comment replies for Ratings and Reviews feed

  1. Go to your TINT board and click to add a Ratings and Review feed
  2. Pick your form.  If you haven't already done this, set up your form by clicking on +Add Form.  Click here to learn how to do this
  3. Go to Email Template and choose your email replies template.  If you haven't already done this, click on +Add Email Template. Please note that only Review Reply type templates will appear here.  Click here to learn how to add an email template. 
  4. Once you have picked your form and email template, you will see the following options 
    • SELECT AUTHOR NAME - Choose the field that you want to map to the post’s author name
    • SELECT AUTHOR EMAIL - Choose the field that you want to map to the post’s author email
    • SELECT AUTHOR AVATAR - Choose the author avatar field
    • RATING - Choose the field that you want to map to the post’s rating
    • POST TITLE - Choose the field that you want to map to the post’s title
    • POST TEXT - Choose the field that you want to map to the post’s body content section. This field will automatically tag the post with the chosen field
    • INCENTIVIZED REVIEW - Choose which field indicates whether this is an incentivized review or not
    • POST TAGS - Choose the field that you want to map to the post’s tags
    • SELECT MEDIA - Choose the media field
    • POST MEDIA ALTERNATIVE TEXT - Choose the field that you want to map to the review's alternative text.
  5. To enable Moderation on the connection, keep "I would like to manually approve posts before they appear publicly on my TINT" selected, but if you would like auto-moderation, untick this option
  6. Click Add Social Feed to add Ratings and Reviews to the board

How to set up comment replies on an Existing Ratings and Reviews feed

  1. Go to your TINT board, and go to your Ratings and Review feed
  2. Click on Change Settings
  3. You should see the option Email Template - choose your email replies template. 
  4. If you haven't already created an email template, click here to learn how to add an email template. If you already have an email template, you should see it listed. Please note that only Review Reply type templates will appear here.

How to switch off comment replies on Ratings and Reviews feed

  1. Go to your TINT board, and go to your Ratings and Review feed
  2. Click on Change Settings
  3. Click on Email Template and change it to none
  4. Click Save

How to delete an email template

  1. Click on your name in the top right-hand corner
  2. Click on Team Settings
  3. Click on Email Templates
  4. Click on ... for the email template you want to delete
  5. Click Delete.  
  6. A pop-up box will appear with: Are you sure?
    This action will permanently delete your email template. Are you sure you still want to continue? 
  7. Click Ok to delete or cancel to keep the template
  8. If you clicked Ok, the email template will disappear from view and be deleted.
